What type of information we have
We currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details)
- Financial information (for invoicing)
- Information relating to coaching requirements
- Recordings of coaching conversations (where consent given)
How we get the information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Communicating with you
- Record keeping
- To supply coaching services and keep records of transactions
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
- We have a contractual obligation.
- We have a legitimate interest.
What we do with the information we have
We use the information that you have given us in order to:
- Offer and provide coaching services
- Review coaching sessions for supervision, learning and credentialling purposes (where consent given)
We may have to share your personal data with the parties set out below:
- Service providers who provide IT and system administration services.
- Professional advisers including lawyers, bankers, auditors and insurers
- Government bodies that require us to report processing activities.
We may share recordings of coaching sessions on an anonymous basis with coach mentors or supervisors or professional coaching bodies, under strict terms of confidentiality.
How we store your information
Your information is securely stored on Microsoft secure cloud based servers in the United Kingdom, or on Zoom servers based in the European Economic Area (EEA). Data we have gathered for you relating to invoicing will be managed through QuickFile.co.uk and may be transferred to, or stored at a destination outside of the European Economic Area (EEA).
If we have worked with you as a coaching client we will keep your Personal, Financial and coaching related information for 10 years. If you have made an enquiry with us but not proceeded we will keep your information for 12 months. We will then dispose your information by deleting from our systems.
If we hold any recordings of coaching sessions we will delete them as soon as any coach mentoring, supervisory or professional review processes are complete.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access - You have the right to ask us for copies of your personal information.
- Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
- Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.
- Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.
- Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at tim@teamwell.co.uk if you wish to make a request.

You can also complain to the ICO if you are unhappy with how we have used your data.
